1. About Us
Game and Flames Ltd (“we”, “us”, “our”) is a live-fire catering company registered in England and Wales. Our registered office is in Bexhill-on-Sea, East Sussex. By booking our services or purchasing through our website, you agree to these terms.
2. Booking & Deposits
- A £500 non-refundable deposit is required to secure your event date
- Bookings are confirmed only upon receipt of the deposit
- A signed booking form or email confirmation constitutes a binding agreement
- We reserve the right to decline bookings at our discretion
3. Payment Schedule
- Deposit: £500 non-refundable deposit at time of booking to secure your date
- Interim payment: 50% of the remaining balance due 12 weeks before the event
- Final balance: Due 4 weeks before the event
- Guest numbers: Final confirmed guest count due 4 weeks before the event
- All prices include VAT at the prevailing rate
- Payment may be made by bank transfer or card (via Stripe)
4. Cancellation Policy
- The £500 deposit is non-refundable under all circumstances
- 12+ weeks before event: Only deposit lost; no further charges
- 8–12 weeks before event: 50% of total fee due
- 4–8 weeks before event: 75% of total fee due
- Less than 4 weeks: Full fee due
- Cancellations must be made in writing to info@gameandflames.com
- We reserve the right to offer rescheduling as an alternative to cancellation where possible
5. Guest Numbers & Menu Changes
- Final guest numbers must be confirmed at least 4 weeks before the event
- Increases after this date are subject to availability and may incur additional charges
- Reductions of more than 10% may not reduce the quoted price
- Menu changes may be requested up to 4 weeks before the event, subject to ingredient availability
6. Pricing & Market Conditions
Quoted prices are valid for 30 days from the date of issue. For events booked more than 6 months in advance, prices may be subject to adjustment in the event of significant changes in ingredient costs, fuel prices, or other market forces beyond our control. We will notify you of any adjustments as early as possible and you will have the option to amend your menu accordingly.
7. Dietary & Allergy Information
We take allergies seriously and will make every effort to accommodate dietary requirements. You must inform us of all allergies and dietary needs at least 4 weeks before the event. While we take reasonable precautions, we cannot guarantee a completely allergen-free environment due to the nature of outdoor cooking.
8. Venue & Access Requirements
- The client must ensure suitable access for our vehicles and equipment
- We require a flat, dry area with a minimum of 6m × 6m for our kitchen tent and fire equipment setup
- Access to running water and electricity is required
- We bring our own catering tent and full kitchen setup — fire pits, crosses, grills, planchas, and all necessary equipment
- Fire safety is our priority — we carry appropriate insurance and fire extinguishers
- Mileage and accommodation charges apply for events outside East Sussex (quoted separately)
9. Waste Disposal
- The client is responsible for waste disposal unless agreed otherwise in writing
- If you would like us to handle waste removal, this can be arranged at additional cost and must be agreed before the event
- We will leave your venue clean and tidy — all food preparation waste is removed by us as standard
10. Workshops & Experiences
- Workshop bookings are confirmed upon full payment via Stripe
- Cancellations made more than 14 days before the workshop date will receive a full refund
- Cancellations within 14 days are non-refundable but may be transferred to another person
- We reserve the right to reschedule workshops due to extreme weather or unforeseen circumstances
- Participants must be aged 18+ unless otherwise stated
11. Liability & Insurance
- Game and Flames Ltd holds public liability insurance
- Our liability is limited to the value of the contract for the event in question
- We are not liable for delays or failures caused by circumstances beyond our reasonable control (force majeure)
- The client is responsible for ensuring their venue permits open-fire cooking
12. Intellectual Property
All content on this website (text, images, logos, branding) is the property of Game and Flames Ltd and may not be reproduced without written permission. Photographs taken at events may be used for marketing purposes unless you opt out in writing.
13. Governing Law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
